Create a presentation

  • Open PowerPoint.
  • Select an option:
    • Select Blank Presentation to create a presentation from scratch.
    • Select one of the templates.
    • Select Take a Tour, and then select Create, to see tips for using PowerPoint

Title of the presentation

  • Choose appropriate title for your presentation.

Add a slide

Select the slide you want your new slide to follow.

  • Select Home > New Slide.

  • Select Layout and choose the type of layout which you want from the drop-down.

Add and format text

  • Place the cursor where you want, and type.
  • Select the text, and then select an option on the Home tab: Font, Font size, Bold, Italic, Underline, …
  • To create bulleted or numbered lists, select the text, and then select Bullets or Numbering.

Add a picture, shape, or chart

  • Select Insert tab.
  • To add a picture:
    • Select Picture.
    • Browse for the picture you want and select Insert.
  • To add a shape, art, or chart:
    • Select Shapes, Icons, SmartArt, or Chart.
    • Select the one you want.

Design in PowerPoint

Themes

  • Select the Design tab.
  • Select one of the Themes.
  • Select one of the Variants.

Use PowerPoint Designer

  • Insert one or more pictures, a list of items, or a list of dates.
  • The Designer panel will open. Select the design you want.

You can also bring up Designer by selecting a picture, and then selecting Design > Design Ideas.

Transitions

  • To add a special effect, to transition from one slide to another:
  • Select the slide you want to add a transition to.
  • On the Transitions tab, select the effect you want.
  • Select Effect Options to change how the transition happens: From Right, From Left, …
  • To undo a transition, select None.

Animations

To animate text or objects on a slide:

  • Select the text or object you want to animate.
  • On the Animations tab, select Add Animation, and select the animation you want from the drop-down.
    • To animate one line of text at a time, select one line of text, select an animation, select the next line of text, select an animation, …
  • For Start, select When Clicked, With Previous, or After Previous.

You can also select the Duration or Delay.

Save in PowerPoint

Save your presentation to OneDrive

When you save your files to the cloud, you can share and collaborate with others, and get to your files from anywhere – on your computer, tablet, or phone.

  1. Select File > Save As.
  2. Select OneDrive.

Save personal files to OneDrive – Personal, and work files to your company OneDrive. You can also save to another location, like your device.

Rename a presentation

  • Select the file name on the title bar.
  • In the menu that appears you can rename the file, select a new location to move it to, or see the version history for the file.

Offline

When you’re online, AutoSave is always on and saves your changes as you work. If at any time you lose your Internet connection or turn it off, any pending changes will sync as soon as you’re back online.

Give a presentation in PowerPoint

Start a presentation

  • On the Slide Show tab select From Beginning. Now, if you are working with PowerPoint on a single monitor and you want to display Presenter view, in Slide Show view, on the control bar at the bottom left select the three dots, and then Show Presenter View.
  • To move to the previous or next slide, select Previous or Next.
  • To view all the slides in your presentation, select See all slides.

Notes

  • During your presentation, the speaker notes are visible on your monitor, but aren’t visible to the audience.
  • The Notes pane is a box that appears below each slide. Tap it to add notes.
  • If you don’t see the Notes pane or it is completely minimized, click Notes on the task bar across the bottom of the PowerPoint window

Subtitles

You can choose which language the caption/subtitle text should be shown to your audience. This feature requires Windows 10 and an up-to-date version of PowerPoint.

  • Select Slide Show > Subtitle Settings.
  • Set your Spoken Language.
  • Select Subtitle Language to see which languages PowerPoint can display on-screen as captions or subtitles, and select the one you want.
  • In the Subtitle Settings menu, set the desired position of the captions or subtitles.
  • More appearance settings are available by selecting Subtitle Settings > More Settings (Windows).

In addition to a computer slide show projected to a live audience by a speaker, PowerPoint can be used to deliver a presentation in a number of other ways:

  • Displayed on the screen of the presentation computer or tablet (for a very small group)
  • Printed for distribution as paper documents (in several formats)
  • Distributed as files for private viewing, even on computers without PowerPoint
  • Packaged for distribution on CD or a network, including linked and embedded data
  • Transmitted as a live broadcast presentation over the web
  • Embedded in a web page or blog
  • Shared on social networks such as Facebook or Twitter
  • Set up as a self-running unattended display
  • Recorded as video/audio (H.264/AAC), to be distributed as for any other video

Shortcut Description
Ctrl + / + c Insert a cent sign.
Ctrl + ‘ + <Char> Insert a character with an accent (grave) mark, where <char> is the character you want. For example, if you wanted an accented è you would use Ctrl+’+e as your shortcut key. To reverse the accent mark use the opposite accent mark, often on the tilde key.
Alt + F1 Jump to the next field if you’ve got fields in your document.
Alt + F3 Create an AutoText entry from selected text.
Alt + F4 Quit Microsoft Word. This closes all open documents (giving you the chance to save changes first) and exits Word.
Alt + F7 Find the next spelling or grammar error in your document.
Alt + F9 Toggle the display of a field’s code.
Alt + Shift + D Insert the current system date.
Alt + Shift + T Insert the current system time.
Alt + Shift + F1 Jumps to the previous field in your document.
Alt + Shift + F2 Save your document. If you haven’t saved your document previously, it opens the Save As window.

Shift + F1 Open Word’s “Reveal Formatting” pane, where you can see the character and paragraph formatting of whatever text you have selected.
Shift + F2 Copy selected text. It’s just like hitting Ctrl+C.
Shift + F3 Change the case of selected text. Pressing this combo repeatedly cycles through the following case styles: Initial Letter Case, ALL CAPS CASE, and lower case.
Shift + F4 Repeat the last “Find” action. This one’s handy because you can use it to browse search results without having the Find and Replace window or Navigation pane open.
Shift + F5 Jump the previous edit you made in your document. Press it again go one more edit back. Word remembers your last two edits. This works even after saving and closing a document, letting you return to where you left off when you open the document again.
Shift + F6 Go to the previous pane or frame.
Shift + F7 Open the thesaurus. If you have a word selected when you press this combo, Word opens the thesaurus and looks up the selected word.
Shift + F8 Reduce a selection. This works the same way as expanding a selection, but backward.
Shift + F9 Reveal a field’s code.
Shift + F10 Display a context menu. This works just like right-clicking.
Shift + F11 Jump to the previous field in your document.
Shift + F12 Save your document.
Shift + Enter Create a soft break instead of a new paragraph.

Function Keys Description
F1 Open Help.
F2 Move text or objects. Select the text or object you want to move and then hit F2. Place your insertion point where you’d like to move the item and then hit Enter.
F3 Expand an AutoText entry. Type at least the first four letters in the name of your AutoText entry and then press F3 to expand it to the full text.
F4 Repeat your last action.
F5 Open “Go To” tab on the Find and Replace window. You can use this to quickly jump to a page, section, bookmark, and so on.
F6 Go to the next pane or frame in your Word window. You can use this to navigate the window without using your mouse.
F7 Open the Editor pane and start a spelling and grammar check.
F8 Enter Word’s selection mode and expand a selection. While in this mode, you can use the arrow keys to extend your selection. You can also press F8 up to five times to extend the selection outward. The first press enters selection mode, the second press selects the word next to the insertion point, the third selects the whole sentence, the fourth all the characters in the paragraph, and the fifth the whole document.
F9 Update a field. This is the same as right-clicking a field and choosing the “Update Field” command.
F10 Show key tips. Pressing this combo reveals single letter shortcuts you can use to access Word’s menu commands.
F11 Jump to the next field in your document.
F12 Open the Save As window.
